High Point Academy is a charter school serving students preschool through 8th grade. Located in Aurora, just north of Green Valley Ranch (10 minutes from Denver International Airport), HPA serves an ethnically diverse student population which includes 26% linguistically diverse students and 54% of students that qualify for Free and Reduced Lunch. HPA is an award-winning wellness school whose curriculum and classes promote healthy lifestyle choices.


The Receptionist/ Administrative Assistant is the primary contact for all parents, students and visitors coming to the school. As a representative of the school, the Administrative Assistant must present a professional, courteous, and friendly attitude when directing visitors, making appointments, handling sign-in and sign-outs, answering phone calls and handling routine phone inquiries.

The Receptionist/Administrative Assistant will act as coverage support for the clinic and administer medications and first aid to students when needed. This position requires the Receptionist/ Administrative Assistant is to remain calm and poised in stressful situations with staff, students and parents. The Receptionist / Administrative Assistant maintains confidentiality and uses discretion in all aspects of communication.


Duties and Responsibilities:

  1. Communications / Marketing
  • Answers phone calls in a professional and timely manner.
  • Records meeting dates on the building calendar
  • Updates and takes messages on the automated messaging system/marquee.
  • Opens, dates and distributes all mail unless marked “confidential” or “personal”.
  • Stamps all invoices to be paid
  • Retrieves, copies and routes faxes. Sends faxes as requested.
  • Routes forms brought in by students/families.
  • Orders marketing materials at the direction of the Director of Finance and Development.
  1. General Office:
  • Copies and sorts items for Thursday folders, delivers Thursday folders.
  • Office contact for Substitutes.
  • Greets and routes substitutes.
  • Provides keys, computers and maps to substitutes.
  • Monitors, orders and distributes office supplies including copier paper.
  • Provides clerical and administrative support to all staff.
  • Labels and mails letters to families as necessary.
  • Manages school office volunteers.
  • Oversees the orderliness of common areas (supplies available for workroom, ).
  • Provides forms for students sent to the office and assists in their completion.
  • If necessary, regulates students needing to see the Administrator.
  • Assist Enrollment and Reporting Coordinator with records requests and filing.
  • Prepares Governing Board Packets with information provided.
  • Other duties as assigned
  1. Record Keeping/Cash Handling
  • Collects payments from families, entering information into Procare
  • Collects attendance from the Classroom Teachers, making phone calls home to validate absence.
  • Creates and distributes tardy and absence letters to families.
  • Helps organize meetings and catering when needed.
  • Maintains a notebook of reception desk procedures.
  • Coordinates field trips and transportation
  1. Cross Job Support/Student Health
  • Provides comfort and assistance in cases of student injury or ill health.
  • Maintains first aid supplies.
  • Maintains records of injuries listing date, name, type of injury and action taken.
  • Maintains student emergency cards.
  • Monitors the area adjoining the reception area to ensure appropriate student behavior.
  • Distributes medication to students as per their schedule.
  • Monitors the security of the building, ensuring volunteers and visitors sign in when they arrive, as per procedure.
  • Provides forms for students sent to the office and assists in their completion.
  • If necessary, regulates students needing to see the Administrator.

Experience and Knowledge:

  • Demonstrated ability and willingness to represent the school in a professional and courteous manner to parents, students, and visitors.
  • Demonstrated ability to work effectively in a dynamic, interrupt-driven environment.
  • Demonstrated computer literacy including word processing, spreadsheets, data entry
  • Demonstrated skill in organizing multiple tasks and projects.
  • Good communication skills and initiative.
  • Ability and willingness to be part of an active team.
  • Cash handling experience/accounts payable experience
  • Bilingual preferred
  • High School diploma
